Executive Summary

At Microsoft Ignite 2025, held at the Marriott Marquis in San Francisco, HUSHconcerts was selected to deliver a sophisticated audio solution for one of the technology industry’s premier conferences. 

The conference took place from November 18-21 at the Marriott Marquis in San Francisco. The event served as a global hub for technology professionals from around the world. This year, the focus was on the “era of AI agents,” with keynotes and sessions exploring AI governance, new Copilot capabilities for Microsoft 365, the latest Azure AI infrastructure, and what it means for businesses to become “Frontier Firms” through AI integration. Drawing more than 65,000 attendees, the event presented the challenge of providing clear, reliable audio across four of the venue’s largest theaters. HUSHconcerts addressed this by deploying 3,200 silent conference headphones, supporting seamless participation in sessions focused on artificial intelligence, governance, and cloud innovation.

Throughout the four-day event, HUSHconcerts managed the distribution, sanitation, technical upkeep, and collection of headphones, enabling more than 45,000 individual session uses. Working in close coordination with Microsoft and other vendors, the HUSHconcerts team maintained a high standard of service and operational efficiency so that attendees experienced uninterrupted access to keynotes and discussions. 

This case study outlines the strategies, collaborations, and logistical solutions that contributed to the successful activation and highlights the role HUSHconcerts played in supporting Ignite’s ambitious programming.

Project Overview

Held on November 18-21, 2025, Microsoft Ignite was a large-scale technology conference focused on advancements in AI integration and digital transformation, with a special focus on how organizations can become “Frontier Firms” when they integrate AI into every aspect of their businesses. With hundreds of sessions over four days and multiple parallel tracks, audio clarity was a primary requirement to keep attendees engaged.

HUSHconcerts was selected as a vendor to handle the silent audio solution, with the goal of making sure every session in the four principal theaters was accessible, clear, and free from any noise interference.

Service Delivery and Operations

HUSHconcerts deployed 3,200 Silent Conference PRO and ZED headphones for use across four large theaters. Each theater hosted up to seven sessions per day, with attendees consistently rotating in and out. The team’s tasks included:

  • Headphone Distribution & Tracking: 3,200 headphones were placed and collected, multiple times per day, to ensure each attendee in all four theaters had access to clear session audio without noise interference or sound bleed from adjacent rooms.
  • Hygiene & Maintenance: Every headphone was sanitized between uses, and the team maintained a rotation system to pull used headphones from circulation for cleaning and replacement. Sanitizing and charging operations were staged in a dedicated backstage area, with used headphones quickly swapped for fully charged, clean units.
  • Power & Recharging Management: Due to long show days, the team brought a surplus of backup headphones and implemented a cycle of charging and deploying units to avoid failures caused by battery depletion, which was especially critical during back-to-back sessions with little downtime.
  • Operational Logistics: HUSHconcerts managed detailed logistics for placement, resetting between sessions, striking equipment, and efficient labor use. Fast transformations were needed since session schedules left little room for delays.

Over 40 personnel worked under HUSHconcerts’ management to execute the operation. Attention to timing was key, as session transitions were short, and there was no room for delays between changeovers.

Event Challenges and Solutions

The biggest challenge faced by HUSHconcerts was scale, as managing 3,200 headphones across four busy theaters required significant manpower, particularly when rapid transitions between sessions allowed for only short windows to collect, clean, and reset headphones. The long event days pushed the battery life to its limits, too, meaning team members had to prioritize backups and charging cycles.

Labor-Intensive Workflows

HUSHconcerts’ own staff led a headphone operations team of over 40 people. The team’s daily work included early-morning placement of sanitized headphones, staying on schedule with venue changeovers, and troubleshooting battery or device issues. 

IATSE Local 16 union crews helped with the transport of hundreds of headphones between storage areas and theaters, while EVENTFORCE ushers assisted in keeping all seats filled and helped reset headphones after each session.

The bulk movement and organization of the equipment required efficient use of staging space, methodical tracking of inventory, and real-time communication between team leads. At the start of each day, coordination meetings were held to divide tasks by session. The group also used mobile radios to adapt to schedule changes or unplanned crowd surges.

Session Turnover and Crowd Flow

With up to seven sessions per day in every theater, session changeovers were fast-paced and timed down to the minute. EVENTFORCE staff worked with HUSHconcerts to usher attendees in and out, while also checking headphones and helping with lost or swapped units. 

If the event’s Q&A ran long, team members quickly cleared used headphones and made sure fully charged, clean units were on every seat for the next audience.

Results

There were four key takeaways from this event:

1. High Usage and Availability

The 3,200 headphones were used an estimated 15 times each, totaling approximately 45,000 individual uses over the course of the conference. Despite this volume, HUSHconcerts kept equipment in constant rotation, with no reported session interruptions from headphone malfunctions or shortages.

2. Reliable Collaboration

The integration of HUSHconcerts, EVENTFORCE, and IATSE Local 16 created a cohesive operational unit. EVENTFORCE ushers not only facilitated seat filling and attendee flow but also worked alongside HUSHconcerts during resets, while IATSE crews helped streamline the movement and staging of headphone equipment at scale.

3. Attendee and Organizer Satisfaction

Microsoft Ignite organizers set a high standard for both technical outcomes and attendee experience. HUSHconcerts met these expectations, maintaining audio clarity and smooth logistics in all four theaters across all days of the event.

4. Problem Solving in Real Time

The team remained flexible to last-minute changes in scheduling, audience surges, or session overruns by maintaining communication among all teams and ensuring the inventory of clean and charged headphones stayed ahead of demand.

Event Context and Feedback

HUSHconcerts wasn’t alone in facilitating this event; other companies involved included Creative Technology, F1 Networks, and EVENTFORCe, along with IATSE Local 16 providing professional stage and labor crews. 

HUSHconcerts’ experience with high-volume activations (including prior events like Adobe Max) was put to use in orchestrating these large-scale deployments, fast seat fills, and rapid changeovers, even with many first-time staff in key roles. The team had to train and adapt new event staff on headphone operations, and their success, in turn, relied heavily on the cooperation, attitude, and flexibility of all involved.

Reviews from both attendees and event staff praised the clarity of the session audio and the seamless flow from session to session. Microsoft Ignite’s organization and logistical planning made getting to sessions simple for participants, while the integration of HUSHconcerts’ silent conference system meant that large, simultaneous presentations could proceed seamlessly without the distractions of overlapping sound or AV interference.

“Microsoft Ignite by itself was a very well-organized Event from Microsoft. They were everywhere, dressed in violet, Microsoft employees (or volunteers) who were always friendly and very helpful as much as possible. With the Microsoft Event app and all the descriptions, it was very easy to get mostly to the right places in time. There was always enough food in the Morning and at Lunchtime and Fridges all over the convention centre with cold drinks to take. Just being at the convention centre for few minutes, it was clear that Microsoft has a lot of experience, how this kind of events have to be organized.”

We chose to do a silent disco at our wedding to keep the party going after the sound ordinance required us to turn off amplified music.
